AKURA keeps track of what you have, what it cost, and what you sold it for. This page covers the first few minutes and the questions we hear most. If yours is not here, write to support@akurastock.com and a person will answer.

Getting started

  1. Create your business. Sign up on akurastock.com or in the app on iPhone or Android. You are asked what you sell: Sealed product for boxes and cases held in quantity, or Card singles for individual cards, each with its own player, grade and market value. The choice sets up the right screens for you.
  2. Check your store. A store is a place you hold stock: a shop, a warehouse, a show table. You start with one. Add more under Settings, then Stores, and switch between them with the store name at the top of the menu.
  3. Add your products. Open Products and choose New product. Give it a name and, if it has one, scan or type its barcode. A photo and details such as sport, brand and year are optional and can be added later.
  4. Receive your stock. Stock comes in through a document, so there is always a record of where it came from and what you paid. Open Documents, choose New incoming, pick the supplier, then add each product with its quantity and cost. Each line is saved as you add it.
  5. Record a sale. Open Documents, choose New sale, pick the customer if you track one, and add what was sold with its price. Stock goes down and the profit is worked out from what the items cost you.
  6. Look at the numbers. Home shows today at a glance. Reports has sales, purchases, what you are owed and owe, cash, and profit and loss, each for any date range.

Everyday work

How do I order stock that has not arrived yet?

Use New pending order instead of New incoming. It records what you ordered and what it will cost without adding anything to stock. When the delivery turns up, open the order and choose Mark received. The stock is added on that day.

How do I do a stock take?

Open Documents and choose New stock take. For each product, enter the number you counted. AKURA works out the difference and corrects the stock, and the document keeps the record of what changed.

How do I move stock between stores?

With a transfer, which takes stock out of one store and puts it into another at the same cost. Open Documents, choose New transfer, and pick the store it is leaving and the store it is going to. Then scan each item, or use Add items to pick from what the first store has. For a card business, something that is not in stock at the first store cannot be moved.

I made a mistake on a document. How do I fix it?

Open the document. Click a quantity or a price to change it, or use the bin on a line to remove it. You can also delete the whole document, which puts the stock back exactly as it was. Nothing is erased silently: every correction is kept in the product’s history.

If AKURA says a change is blocked, it is because that product has later activity, such as a sale made after the receipt you are trying to change. Fix the later document first, or correct the count with a stock take.

How do I track who has paid?

Every incoming and sale document is either paid or owed, and you can record part payments on it. Under Settings, then Payment defaults, choose whether new documents start as paid or owed. The debts report lists what each customer owes you and what you owe each supplier.

Where do my other costs go?

Rent, shipping supplies, show fees and the like go under Expenses. They are included in the profit and loss report alongside your sales.

A product is discontinued. Can I delete it?

Products with history are hidden rather than deleted, so old documents and reports stay correct. Open the product and hide it at that store. It comes back on its own if you ever receive it again.

Can I get my data out?

Yes. Reports can be exported as CSV files, which open in Excel and Google Sheets.

Phone and web

Do I need both the app and the website?

No, but they are better together. They show the same business, live: a receipt made on the phone at a show is on the website a moment later. The phone is built for the counter and the camera. The website is built for the desk: bigger tables, bulk changes and keyboard work.

Can several people use it at the same time?

Yes. Everyone on your team signs in with their own email and works in the same business at once.

Where do I get the app?

Search for AKURA Stock & Inventory on the App Store or Google Play, and sign in with the same email you use on the website.

Your team

How do I add staff?

Open Settings, then Team and roles, enter their email, choose a role and send the invite. They receive an email with a link to join your business. Team members are included in your plan at no extra charge.

What can each role do?

You start with three roles. Admin runs the business day to day: stock, documents, reports and settings, but not the team, the plan or deleting the business. Staff does the daily work: receive, sell, count, and manage products, partners and expenses, without reports, settings or deleting documents. Viewer can look at stock, partners and expenses but cannot change anything. The person who created the business is its owner and can always do everything.

You can change what each role is allowed to do, or add roles of your own, on the same page. For example, you can stop a role from seeing what your stock cost.

Someone left. How do I remove their access?

Open Settings, then Team and roles, and use the remove button beside their name. Their access ends immediately, on the website and in the app. Everything they recorded stays in your business, and you can invite them again later. An invite that has not been accepted yet can be revoked on the same page.

Scanning barcodes

How do I scan on the phone?

Tap the scan button on the Products screen, or when adding items to a document. Point the camera at the barcode. If the product is known it opens straight away. If not, you are offered to create it with the barcode already filled in.

Can I use a barcode scanner on the website?

Yes. Any USB or Bluetooth scanner that types like a keyboard works. Open Products and scan: the product opens. The same works in the item picker when you are building a document.

My product has no barcode.

That is fine. Search finds products by any part of the name, and you can give a product your own code in its SKU field.

Card businesses

These features appear when the business was set up as Card singles.

What is different about a card?

Each card is its own product with a player, set, card number, grade and certificate number, a serial number if it has one, front and back photos, and a market value you can update as prices move. AKURA keeps the history of every market value change.

How are card titles made?

AKURA builds a card’s title from its details, so every card is named the same way. Choose the order of the parts under Settings, then Card titles. You can always type your own title on any card.

Can I add many cards at once?

Yes, on the website. Upload a spreadsheet of cards, check each row on the review screen, attach photos, and post them together as one incoming document.

How does grading work?

Under Grading, create a submission, add the cards you are sending, and mark it sent. Those cards are marked as being at the grader wherever they appear, so nobody goes looking for them on the shelf. When they come back, record the grades and the fee. The fee is added to each card’s cost, so your profit is right when it sells.

What is the Repack Builder?

An add-on for businesses that build repack cases from their singles. You set up templates with price tiers and a spot map of teams, and AKURA builds a case from your stock that follows your rules, shows what it cost against its target, and turns the finished case into a sale. It also shows which teams and price ranges you are short of. Cases are built on the website and can be followed on the phone. Turn it on under Settings, then Plan.

Can AKURA bring in my eBay purchases?

Yes, for card businesses. AKURA can follow what you buy on eBay from payment to delivery and put each card in front of you to check before it becomes stock. Connecting an eBay account is set up by us for now. Write to support@akurastock.com and we will connect yours.

Plans and billing

What does it cost?

One plan covers the whole business: every team member, on the phone and on the website. Card businesses can add the Repack Builder. Paying yearly gives you two months free. Current prices are on the pricing section of our home page and on the Plan screen in the app.

How does the free trial work?

The first 14 days are free. You choose a plan to start the trial, and you are not charged until it ends. If you cancel before then, you pay nothing.

Where do I manage or cancel my subscription?

In the same place you started it:

The Plan screen in AKURA tells you which of these applies to your business. Only the owner of the business can start, change or cancel the plan.

In the app the plans are called Base and Plus. Which is which?

Base is AKURA. Plus is AKURA with the Repack Builder. They are the same plans as on the website.

I have a new phone. How do I get my subscription back?

Sign in to AKURA with your usual email. The subscription belongs to your business, not to the phone, so it is normally there already. If it is not, open the menu, choose Plan, and tap Restore purchases.

What happens to my data if I cancel or my trial ends?

It stays safe. You can still sign in and see everything. Adding and changing records may be paused until you subscribe again, and when you do, you carry on exactly where you left off.

I subscribed on my phone. Do I pay again for the website?

No. One subscription covers the phone and the website for your whole team.

Your account and data

I forgot my password.

Choose Forgot password on the sign-in page and we will email you a link to set a new one. If you signed up with Google or Apple, sign in with that button instead: there is no AKURA password to reset.

Is my data private?

Yes. Each business is kept separate from every other at the database level, connections are encrypted, and we do not sell your information or use it for advertising. The details are in our Privacy Policy.

How do I delete my account?

Open Settings, then Account, and choose Delete, in the app or on the website. A team member deletes only their own sign-in. The owner deletes the business and everything in it. The full explanation, and what to do if you cannot sign in, is on the Delete your account page.
